Launched in 1993, the Environmental Film Festival in the Nation’s Capital (DCEFF) is the largest and longest-running showcase for environmental films in the United States. Each March, our signature Festival presents dozens of films from around the world in venues across greater Washington, D.C. Alongside the screenings, we offer panels and special events featuring filmmakers, subject matter experts, and other invited guests to foster dialogue and deepen engagement. A leading D.C. cultural institution, we were named Best Film Festival in D.C. by Washington City Paper readers 2019-2023 and honored with the 2017 D.C. Mayor’s Award for Excellence in Creative Industries.

 

Job Summary

The Environmental Film Festival in the Nation’s Capital (DCEFF) seeks a Development and Administrative Assistant to support advancement and daily operations as we prepare for our 33rd Annual Festival, which will take place in venues across the Washington, D.C. area from March 20-29, 2025.

The ideal candidate is thorough, communicative, and proactive, with past experience in development administration.

This is a hybrid, part-time contract position of 15 hours per week with the potential for increased hours. The ideal candidate will be available to report to our Washington, D.C. festival office as needed. Fully remote candidates may be considered. This position may be filled remotely, though availability to report to our Washington, D.C. office location is preferred, particularly in the months from January to April.

Responsibilities

Gift processing and database management

  • Accurately record all gifts and pledges in the donor database and provide tax receipts and acknowledgement letters to donors in a timely fashion
  • Help execute regular donor communications through mailing pledge reminders, personalized thank-you cards, welcome phone calls or emails, and other gift stewardship communications
  • Develop, document, and adhere to best practices and procedures as they relate to gift processing and stewardship
  • Collect and consolidate results of annual giving appeals and special events and enter financial data in database as appropriate
  • Collaborate on creating mail and e-mail recipient lists for solicitation, events, and donor stewardship activities, as well as other development communications materials

 

Provide administrative support to the Executive Director in other areas of development and operations

  • Help maintain office calendar and meeting scheduling, assisting with meeting notes and after-action reports
  • Contribute to researching and identifying funding opportunities and entering new information in our donor database about potential donors and event attendees with the aim of upholding a robust moves management framework
  • Assist in event planning, serving as a liaison with outside vendors and Festival partners (note these may take place outside of regular working hours)
  • Maintain and comprehensively update in-house cache of institutional funder/sponsor logos and act as point of contact for all aspects of institutional funder/sponsor public recognition
  • Perform requested research/information-gathering on additional delegated tasks
  • Respond to public inquiries about Festival events
  • Proofread deliverables and documents as needed
  • Assist in other administrative tasks as assigned

 

Qualifications

  • At least two (2) years of nonprofit professional experience, preferably in an arts or environmental mission area
  • Proficiency with DonorPerfect (preferred) or other fundraising CRM
  • Experience with Google Office Suite, AirTable are preferred
  • Excellent project and time management skills with attention to detail and accuracy and the ability to prioritize tasks, responsibilities, and deadlines
  • Experience with generating database reports and compiling, reviewing, and presenting donor and financial data with a high degree of accuracy and accessibility
  • Discretion and sensitivity in donor relations and stewardship
  • Strong research, writing, editing, and oral communication skills
  • Creativity, adaptability, and a sense of humor
  • Event planning experience a plus
  • Willingness to be a team player, cognizant of many moving parts and shifting priorities throughout the programming year

 

Hours & Compensation

This is a part-time (15 hours/week) contractor position with a term beginning in August 2024 and ending in June 2025. The hourly rate is commensurate with experience and ranges from $25.00-$35.00 per hour.
